Step-by-step

  1. Sign up at fireflies.ai and connect your Google Calendar or Outlook calendar.
  2. Configure auto-join: Fireflies can automatically join scheduled meetings on Zoom, Google Meet, or Teams. Set it to join all external meetings or only meetings with specific participants.
  3. Set notification preferences: choose whether Fireflies sends a message to attendees saying it will join (recommended for transparency).
  4. Customize the AI note-taker's display name: 'Notetaker' or your company's preferred name.
  5. After your first meeting, review the transcript: Fireflies provides a full transcript with speaker labels, timestamps, and an AI-generated summary.
  6. Browse the summary sections: Fireflies organizes notes into Overview, Action Items, Key Topics, and Questions Asked.
  7. Search across all your transcripts: use keywords to find specific topics discussed across any meeting.
  8. Share transcripts: send the meeting notes to attendees or specific team members.
  9. Integrate with your tools: connect Fireflies to Slack (for meeting summaries), Attio (for deal notes), or Notion (for documentation).
  10. Set up custom vocabulary: add industry jargon, product names, and acronyms so Fireflies transcribes them correctly.
